Your contract is with THE HYBRID TOURS LLC. Company registered in the USA at 30 N Gould St Ste 35929, Sheridan, WY. The Hybrid Tours are hereinafter referred to as “the company” in respect of the booking conditions, which apply to all of the tours in our website.
The Participant or “you” – The person whose signature and details appear on the booking form.
The Date of Departure – the date of commencement of the tour.
Force Majeure – unusual and unforeseeable circumstances beyond the control of the Company, the consequences of which could not have been avoided, even if all due care had been exercised.
Cancellation Notice
All cancellations must be made in writing and sent by email to the Company. Cancellation will be effective on the date the written notice is received by the Company at its registered business email address, based on the Company’s local time zone.
Deposit
The deposit is non-refundable under all circumstances, except where expressly stated elsewhere in these Terms and Conditions.
Cancellation Fees
If the Participant cancels their booking, the following cancellation fees will apply, calculated as a percentage of the total tour price:
For the avoidance of doubt, cancellation fees apply to the total tour price, not solely to amounts already paid. If cancellation charges exceed the amount already paid at the time of cancellation, the Participant remains liable for the outstanding balance.
Failure to Commence the Tour
If the Participant fails to join the tour on the Date of Departure, or withdraws from the tour after it has commenced, no refund will be provided for any unused portion of the tour, including accommodation, transportation, activities, or other services.
Voluntary Alteration or Early Departure
If the Participant voluntarily leaves the tour early, or chooses not to participate in any scheduled activity or service included in the itinerary, no refunds, credits, or reimbursements will be issued for unused services. Any additional costs incurred as a result of such decisions will be the sole responsibility of the Participant.
Transfer of Booking
All tour prices are based on the rates available at the time of booking. Once a booking has been confirmed and payment has been made, the agreed price is final.
From time to time, The Hybrid Tours may offer promotional pricing, discounts, or special offers for future bookings. These promotions apply only to new bookings made during the promotional period and cannot be applied retroactively to existing reservations.
Participants who have already confirmed their booking are not entitled to refunds, credits, or adjustments if the same tour is later offered at a discounted or promotional rate.
The Company reserves the right to cancel, postpone, or modify a tour where necessary due to circumstances beyond its reasonable control. Such circumstances may include, but are not limited to, insufficient participant numbers, transportation disruptions, government restrictions, civil or political unrest, safety concerns, natural disasters, or other events that make the operation of the tour unsafe or impractical.
In the event that the Company cancels a tour, the Participant will normally be offered the option to transfer their booking to a future departure of the same or a comparable tour, subject to availability. Alternatively, the Company may issue a travel credit for the amount paid, which may be applied toward a future tour operated by the Company. Unless otherwise stated, such travel credits must be used within 12 months of the original departure date.
Refunds are not normally provided in the event of cancellation by the Company. Any refund request will be considered solely at the discretion of the Company and may be subject to deductions for any non-recoverable costs incurred on behalf of the Participant.
Where a tour is canceled due to insufficient participant numbers, the Company will normally notify Participants no later than 30 days prior to the scheduled departure date.
The Company shall not be responsible for any additional expenses incurred by the Participants in preparation for the tour, including but not limited to flights, accommodation, visas, insurance, vaccinations, or other travel arrangements. Participants are strongly advised to obtain comprehensive travel insurance to cover such costs.
All tours require a minimum number of participants in order to operate. The Company reserves the right to cancel or postpone a tour if this minimum number is not reached.
Where a tour is canceled due to insufficient participation, the Company will normally notify Participants no later than 30 days prior to the scheduled departure date.

They may be modified or adjusted as necessary due to operational requirements, safety concerns, weather, local political conditions, natural disasters, mechanical breakdowns, transportation disruptions, or other unforeseen circumstances.
During the tour, the Company may make minor adjustments to activities, timings, routes, or accommodations to ensure safety, comfort, or the best possible experience. No compensation or refund is payable for minor changes.
If a major change to a tour becomes necessary prior to departure, including changes to dates, core activities, routes, or accommodations, the Company will notify the Participant as soon as reasonably possible. In such cases, the Participant may choose to:

The Company is not responsible for events beyond its control, including but not limited to political unrest, natural disasters, public health emergencies, or other force majeure events. In such circumstances, refunds are not guaranteed, as many services are arranged and paid for in advance to third-party providers.
The Company will make reasonable efforts to negotiate with local partners to recover costs on the Participant’s behalf. Any credit, transfer, or partial reimbursement toward a future tour will be offered on a case-by-case basis and is not guaranteed, depending on what is recoverable from these providers.
Participants are required to have comprehensive travel insurance covering force majeure events. In many cases, costs that cannot be refunded by the Company may be recoverable through the Participant’s insurance policy. The Company assumes no responsibility for costs or losses that are not covered by travel insurance.
The Company’s priority in force majeure situations is participant safety and continuity of experience, and any adjustments, substitutions, or rescheduling will be made with reasonable consideration of both the Participant’s interest and operational feasibility.
By signing up for or participating in a tour with The Hybrid Tours, the Participant acknowledges that they have read, understood, and accepted this Release and Waiver.
In consideration of being permitted to participate, the Participant hereby releases, waives, and discharges The Hybrid Tours, its officers, directors, employees, agents, vendors, representatives, and affiliates from any and all liability, claims, demands, actions, or causes of action arising out of or related to any loss, injury, illness, or death sustained during or as a result of the tour.
The Participant agrees that this Release applies to all claims, whether arising from negligence, accident, or other causes, to the fullest extent permitted by law, and acknowledges that the Company cannot be held responsible for any injury, loss, or damage incurred while participating in tour activities.
By signing up for or participating in a tour with The Hybrid Tours, the Participant acknowledges and agrees that they are responsible for obtaining comprehensive travel insurance that covers all aspects of the tour.
The Participant must ensure that their insurance provides coverage for:
This insurance must be valid for the entire duration of the tour, including at least one additional day before and after the planned itinerary. The Participant must obtain this insurance no later than the date the balance payment is due.
The Company shall not be liable for any costs, losses, or claims that could have been covered by adequate travel insurance. Participation in a tour without appropriate coverage is at the Participant’s own risk.
The Hybrid Tours is not responsible for any flight cancellations, delays, or schedule changes that may affect the tour itinerary. In the event that a flight included in the tour package is canceled or unavailable, The Hybrid Tours may arrange alternative transportation, such as ground transfers, to allow the tour to continue.
Participants acknowledge that no refunds or reimbursements will be provided for costs, delays, or inconveniences arising from flight disruptions, as these are beyond the control of the Company. This includes missed connections, additional travel expenses, or impacts on onward travel plans.
All Participants are required to obtain comprehensive travel insurance covering flight cancellations, delays, and other unforeseen disruptions. Adequate insurance ensures that costs or losses incurred due to travel interruptions are recoverable, protecting both the Participant and the Company.
Participants acknowledge that during the tour they will interact with individuals from diverse backgrounds, including survivors of displacement and people with lived refugee experiences. All Participants are expected to behave respectfully, considerately, and mindfully toward everyone they encounter. Disruptive, disrespectful, or harmful behavior will not be tolerated.
If a Participant engages in behavior that jeopardizes the safety, comfort, or well-being of others, the Company reserves the right to remove the Participant from the tour immediately. No refund, credit, or compensation will be provided in such cases.
This policy applies to all forms of misconduct, including actions that may be culturally insensitive, disruptive to group dynamics, or harmful to individuals and communities visited during the tour.

Any behavior that jeopardizes the safety of the group, disrespects local authorities, or violates local regulations — whether knowingly or unknowingly — is the sole responsibility of the Participant. If a Participant’s actions result in fines, penalties, or other legal repercussions, The Hybrid Tours will not be held responsible for covering these costs. In cases of repeated non-compliance, disruptive behavior, or willful disregard for safety guidelines, the Company reserves the right to remove the Participant from the tour immediately, without refund or further obligations.
At The Hybrid Tours, cultural sensitivity and ethical travel are core values. Many communities we visit have specific cultural, religious, or privacy norms regarding photography. Participants are expected to respect these boundaries at all times.
Participants are also responsible for understanding local laws around photography and consent. We will provide further information through a briefing upon arrival. The Hybrid Tours cannot be held liable for any legal consequences arising from unauthorized photography or recording.
The Hybrid Tours is not responsible for personal opinions, statements, or content shared by Participants before, during, or after a tour. While we encourage respectful and informed discussion about travel experiences, any views expressed, including on social media, blogs, reviews, or other public platforms, are solely those of the Participant and do not reflect the views or policies of The Hybrid Tours.
If a Participant tags or mentions The Hybrid Tours in content that is controversial, misleading, or offensive, the Company assumes no liability. The Company reserves the right to clarify its official stance if necessary, but any disputes or consequences arising from the Participant’s statements remain the sole responsibility of the individual who made them.
It is the sole responsibility of the Participant to ensure they have all necessary travel documents, including a valid passport, visas, and required vaccinations, well in advance of departure.
When The Hybrid Tours assists with visa documentation or coordination, final approval rests entirely with the issuing authorities. The Company cannot guarantee visa issuance, and cannot be held responsible if a visa is denied, delayed, or restricted for any reason.
If a Participant is unable to attend a tour due to visa issues, whether applying independently or with our assistance, The Hybrid Tours reserves the right to retain the full cost of the tour. The Company is not responsible for tour cancellations arising from failure to obtain travel authorization.
While we understand that visa denials can be frustrating, any partial credit or transfer to a future tour is granted solely at the discretion of the Company, based on timing and availability. Participants are strongly encouraged to notify the Company as early as possible of any potential visa challenges so guidance can be offered.
To protect against unforeseen circumstances such as visa denials, cancellations, or travel interruptions, all Participants are required to obtain comprehensive travel insurance prior to departure.
By participating in a tour with The Hybrid Tours, the Participant acknowledges and accepts the Company’s Terms & Conditions and consents to photographs and video recordings taken during the tour. These images and videos may be used for educational, promotional, or marketing purposes by The Hybrid Tours.
If a Participant prefers to opt out of being included in any materials, they must notify the tour guides, founders, or designated tour leader prior to the official start of the tour. Once the tour has commenced, consent is assumed for all images and recordings taken by the Company or its authorized representatives.
It is the sole responsibility of the Participant to stay informed of any travel advisories, warnings, or restrictions issued by their government or other authorities regarding the country or region of travel. Participants must ensure they are appropriately insured to travel under such circumstances.
The Hybrid Tours accepts no liability if a Participant:
a) chooses to cancel a booking due to a travel advisory, or
b) is not adequately insured to travel.

By booking a tour with The Hybrid Tours, the Participant acknowledges and accepts that local standards in the countries we operate in may differ from those in wealthier nations. This applies to both safety protocols and accommodation quality. Participants agree to exercise reasonable flexibility and understanding regarding local conditions and infrastructure.
Participants agree that, for a period of three (3) years following the completion of their tour, they will not directly or indirectly engage, solicit, or contract the services of any local guides, drivers, accommodation providers, or other service providers introduced through The Hybrid Tours for the purpose of organizing tours, commercial ventures, or any activity generating monetary gain.
This restriction does not prevent participants from booking accommodations for personal leisure travel, provided it is not for business, tour-related purposes, and is not arranged outside The Hybrid Tours’ channels.
This clause is intended to protect The Hybrid Tours’ business relationships and operational model. Any violation may result in legal action or financial penalties.
The Participant acknowledges that, prior to entering into this contract, they have been provided with general information regarding passport and visa requirements, as well as any health formalities necessary for the tour, and confirms that there is no reason preventing them from complying with these requirements.
This contract shall be governed by and construed in accordance with the laws of the United States of America, and the parties irrevocably submit to the exclusive jurisdiction of the U.S. courts to resolve any disputes arising out of or in connection with this contract. solely due to travel advisories. Tours will proceed as planned unless local authorities or conditions make travel unsafe or legally impossible. If the destination itself does not issue a formal warning, the tour will continue.
By booking a tour with The Hybrid Tours, the Participant acknowledges and accepts that local standards in the countries we operate in may differ from those in wealthier nations. This applies to both safety protocols and accommodation quality. Participants agree to exercise reasonable flexibility and understanding regarding local conditions and infrastructure.
Participants agree that, for a period of three (3) years following the completion of their tour, they will not directly or indirectly engage, solicit, or contract the services of any local guides, drivers, accommodation providers, or other service providers introduced through The Hybrid Tours for the purpose of organizing tours, commercial ventures, or any activity generating monetary gain.
This restriction does not prevent participants from booking accommodations for personal leisure travel, provided it is not for business, tour-related purposes, and is not arranged outside The Hybrid Tours’ channels.
This clause is intended to protect The Hybrid Tours’ business relationships and operational model. Any violation may result in legal action or financial penalties.
The Participant acknowledges that, prior to entering into this contract, they have been provided with general information regarding passport and visa requirements, as well as any health formalities necessary for the tour, and confirms that there is no reason preventing them from complying with these requirements.
This contract shall be governed by and construed in accordance with the laws of the United States of America, and the parties irrevocably submit to the exclusive jurisdiction of the U.S. courts to resolve any disputes arising out of or in connection with this contract.
